The Position
The Company is adding a Administrative Assistant to play a key role in providing administrative and project support to the firm’s President and staff. This includes managing calendars, scheduling meetings, preparing correspondences, and managing travel arrangements. In addition, this position will be a welcoming energy to all clients, prospects and visitors who call or visit the firm.
The job duties for this role include, but are not limited to, the following:
  • Serve as the primary point of contact for all internal and external communications with the President, filtering and responding to communications as appropriate
  • Greet all visitors to the office, expressing positive energy and engaging in welcoming conversation
  • Perform general office administrative tasks including daily mail retrieval and processing, electronic and physical file organization, office common area upkeep and supply ordering
  • Support marketing and business development by assisting with execution of campaigns and events
  • Assist with client account servicing activities including opening accounts, money movements, asset transfers and paperwork mailings
 Targeted Experience, Skills, and Abilities
  • Associate’s degree from an accredited college or university
  • Direct experience serving senior leadership
  • Excellent customer service skills 
  • Naturally outgoing and enjoy daily interaction with clients and prospects
  • Exceptional written and verbal communication skills and attention to detail  
  • MS Office Skills, including Excel, Outlook and Word
  • Experience working in the investment advisory and financial planning industry preferred, but not required
